Outgoing email (SMTP)
Wasp Inventory sends email for several things: user invitations, password resets, purchase orders to vendors, pick order receipts to customers, scheduled reports, and email notifications. The Email settings control how that mail is sent: either through Wasp’s own mail server or through your organization’s own SMTP server.
Before you begin
Section titled “Before you begin”- Email settings are an administrator area under the Settings gear, gated by your role’s permissions.
- Decide whether you’ll use Wasp’s mail server (the simplest option, and the default) or your own SMTP server (so mail comes from your own domain and mail system).
Where to find it
Section titled “Where to find it”Open the Settings gear, then open the Email section.
Wasp’s mail server vs. your own SMTP
Section titled “Wasp’s mail server vs. your own SMTP”The Use Wasp Configuration checkbox decides which mail server sends your email:
- Checked (default) — Wasp Inventory sends all email through its own mail service. There’s nothing else to configure; the custom SMTP fields are hidden.
- Unchecked — you supply your own SMTP server. The SMTP fields appear, and a Validate SMTP button lets you check them.
Use your own SMTP server when you want email to originate from your own domain or pass through your own mail system; otherwise, leaving Wasp’s configuration on is the easiest path.
Configure your own SMTP server
Section titled “Configure your own SMTP server”With Use Wasp Configuration unchecked, fill in:
- SMTP Server — your outgoing mail server’s hostname (the same one your email client uses to send).
- SMTP Port — the port the server listens on (25 by default).
- SMTP SSL/TLS — turn on if your server requires an encrypted connection.
- SMTP User and SMTP Password — the credentials for the mail account, if your server requires authentication. The password is stored encrypted.
- From Email — the address outgoing mail is sent from.
- Reply To Email — the address replies should go to.
The From Email and Reply To Email must be valid email addresses.
Validate and save
Section titled “Validate and save”Click Validate SMTP to have Wasp Inventory check that it can connect using the settings you entered; a message tells you whether it succeeded. This confirms the connection; it doesn’t send a test message to anyone. Then click Save to store the settings.
What needs email to work
Section titled “What needs email to work”If email isn’t configured (and validated, when using your own server), these actions will warn you and point you back here:
- Inviting a user
- Resetting a password
- Emailing a purchase order to a vendor
- Emailing a pick order receipt to a customer
- Scheduling reports
- Sending email notifications
Troubleshooting
Section titled “Troubleshooting”- A feature says SMTP must be set up first. Open Settings → Email and either turn on Use Wasp Configuration or configure and validate your own SMTP server.
- Validate SMTP fails. Double-check the server, port, encryption, and credentials with your mail provider, then validate again.
- My email settings are greyed out. Your role may have view-only access to Settings; ask an administrator.
