Lookups (reference data)
Lookups are the reusable reference records the rest of the app relies upon. Whenever you add an item, receive a purchase order, or ship to a customer, you’re picking from lists you set up in this section.
Before you begin
Section titled “Before you begin”- Access to the Lookups section, and to each individual lookup, is controlled by your role. If you can’t see a lookup or the New button is missing, your account may have view-only rights; ask your administrator to adjust your role.
- A little planning up front pays off. Because these lists feed drop-downs all over the app, it’s worth agreeing on naming conventions with your team before you create dozens of records.
What’s in Lookups
Section titled “What’s in Lookups”Open the Lookups section in the left sidebar to manage each of these:
- Sites — your physical buildings or warehouses.
- Locations — specific spots within a site, such as a shelf or bin.
- Zones — groupings of locations that help organize a larger site.
- Categories — labels for grouping similar items together.
- Pay Methods — the payment terms you use on orders (for example, cash, credit, or net terms).
- Vendors — the companies you buy stock from on purchase orders.
- Manufacturers — the companies that make the items you stock.
- Customers — the people and companies you sell or ship to on pick orders.
- Shipping Providers — the carriers and shipping methods you ship with.
- Adjust Reason — the reason codes you choose when adjusting inventory.
The common pattern
Section titled “The common pattern”Most lookups work the same way, so once you’ve learned one you’ve learned them all:
- Open the lookup from the Lookups menu to see a grid of everything you’ve created.
- Click a record to open it, or use the New button to create a new one.
- Fill in the add/edit form and Save.
Common questions
Section titled “Common questions”- A lookup won’t let me delete it. Records that are already in use elsewhere (a site that holds stock, a vendor on a purchase order, a category assigned to items) usually can’t be removed, because doing so would break that history.
- My new record doesn’t appear in a drop-down. Most drop-downs are scoped by your Working Site. If something is missing, check the site selector at the top of the app, or switch it to All Sites.
- The form won’t save. Look for a field marked with an asterisk (*) that’s empty, or a validation message at the top of the page: a required field is the most common cause.
