Inventory actions overview
The Actions menu is home to the everyday transactions that change what you have on hand. Whenever stock comes in, goes out, moves around, or needs a count correction, you’ll start here. This page explains what each action does and helps you pick the right one.
Before you begin
Section titled “Before you begin”- Your role must allow access to the transaction you want to run. If an action is missing from your Actions menu, your role doesn’t have access to it. An administrator can grant it on the Roles & permissions page.
- Roles can also limit which sites you work with, so you’ll only see stock for the sites your role covers.
- Before you can add, remove, or move stock, the items, sites, and locations involved need to exist. Set those up first if you’re just getting started.
The actions at a glance
Section titled “The actions at a glance”Open the Actions section in the left sidebar and you’ll find six ways to change stock, plus two pages for reviewing what has already happened.
| Action | Use it when… |
|---|---|
| Add | Stock arrives and you want to bring it into the system without a purchase order. |
| Remove | Stock leaves for reasons like damage, loss, or consumption. |
| Adjust | Your on-hand count is wrong and you need to correct it to match reality. |
| Move | Stock physically moves from one location or site to another. |
| Check Out | You’re handing items to a customer or vendor and want to track who has them. |
| Check In | Checked-out items come back. |
| History | You want to see every stock movement that has been recorded. |
| Archived Transactions | You need older records that have been moved out of the main history. |
Add, Remove, and Adjust
Section titled “Add, Remove, and Adjust”Add brings new stock into the system. It’s the quick way to receive quantity for an item when you’re not using a purchase order: choose the item, pick where it goes, enter the quantity, and save.
Remove takes stock out for any reason that isn’t a sale or fulfillment: breakage, spoilage, samples, or shrinkage. You pick the item and location, enter how much is leaving, and record why.
Adjust is for correcting the count itself. If the shelf says 48 but the system says 50, an adjustment sets the record straight and asks you to choose a reason so the change is documented.
Move, Check Out, and Check In
Section titled “Move, Check Out, and Check In”Move relocates stock without changing how much you own. Pick the item, the location it’s leaving, the destination, and the quantity.
Check Out hands items to a customer or vendor, while keeping them on your books as “out.” It’s ideal for tools, equipment, or loaned stock you expect back. You can set a due date so nothing gets forgotten.
Check In is the return trip: it brings checked-out items back into available stock.
Reviewing what happened
Section titled “Reviewing what happened”History lists every transaction recorded in the system, newest first. You can filter, search, group, and export it to Excel or CSV to answer questions like “what left this site last week?”
Archived Transactions holds older records that have been moved out of the main history to keep it fast. You reach it from the History page when you need to look further back.
Common questions
Section titled “Common questions”Should I use Add or a purchase order? If a vendor sent you the stock, receiving it against a purchase order keeps your ordering and cost records aligned. Use Add for stock that arrived outside that process.
Remove or Adjust? Use Remove when stock genuinely left the building and you want the reason on record. Use Adjust when the physical count simply didn’t match what the system believed.
An action is missing from my menu. That transaction isn’t enabled for your role. Ask an administrator to turn on Allow Access for it under Roles & permissions.
I want to fulfill a customer order. Stock going out to fulfill orders usually belongs on a pick order rather than a Remove or Check Out transaction.
