Change Log
The Change Log is a field-level audit trail. For each edit to a record’s own details, it records which field changed, its previous value, its new value, who made the change, and when. It’s different from Transaction History, which records stock movements (adds, removes, moves, check outs, check ins) rather than edits to a record’s fields. Use the Change Log when you need to answer “who changed this field, and what did it used to say?” Use History when you need to answer “what happened to this item’s quantity?”
Before you begin
Section titled “Before you begin”- The Change Log is a Complete-edition feature. It isn’t available on the Basic edition.
- Your role needs Allow Access to Change Log. An administrator grants this on the Roles & permissions page.
- An administrator must also turn on change tracking in Settings, under the Change Tracking Configuration section: Enable Item Change Tracking captures edits to items, and Enable Lookup Change Tracking captures edits to lookup records (such as sites and locations). At least one of these must be on. See Settings.
- If any of the above isn’t met, the Change Log menu item doesn’t appear at all; it isn’t just disabled.
Open the Change Log
Section titled “Open the Change Log”Open Item → Change Log in the left navigation to see the full log across every tracked record. You can also see the change history for a single item without leaving it: open the item and check its own Change Log tab (see Item details & tabs), which shows just that item’s edits.
Choose a form
Section titled “Choose a form”The main Change Log page starts with a Select form dropdown. Choose the type of record you want to see changes for (for example, Items, or a lookup type such as Sites or Locations). Only forms that have tracked changes appear in the list; if the dropdown is empty, nothing has been tracked yet.
Read the grid
Section titled “Read the grid”Each row is one field-level edit, with columns including:
- Tag Data / Tag Description — the number and description of the record that changed (for example, the item number).
- Property Name — the field that was edited.
- Previous Value and Current Value — what the field changed from and to.
- User First Name, Last Name, Email — who made the change.
- Event Date/Time — when the change happened.
- Change Event Type — whether the record was Created, Updated, or Deleted.
Filter, sort, and export
Section titled “Filter, sort, and export”- Turn on Show Filter to filter within any column, for example a specific property name or a date range.
- Click a column heading to sort.
- Use the Export to Excel dropdown to download the current view as XLSX or CSV. The export reflects your current filters and columns.
Retention
Section titled “Retention”Change Log entries aren’t kept forever. An administrator sets Keep Change Log Duration Days in Settings → Change Tracking Configuration (180 days by default) to control how long entries are retained before older ones are purged.
Troubleshooting
Section titled “Troubleshooting”- I don’t see Change Log in the Item menu. It requires the Complete edition, the Allow Access permission on your role, and at least one of the change-tracking options turned on in Settings. Ask an administrator to check all three.
- The form dropdown is empty, or a field/tooltip says no changes have been tracked. Nothing has been tracked yet for that record type: either tracking was only recently turned on, or that record hasn’t been edited since.
- A field I changed isn’t showing up. Confirm the right tracking option is on: Enable Item Change Tracking covers items, Enable Lookup Change Tracking covers lookup records. Also check whether the entry has aged out under the retention setting.
- I’m looking for a stock movement, not a field edit. That’s Transaction History, not the Change Log. History covers adds, removes, moves, check outs, and check ins.
