Form Customization

Form Customization is where an administrator tailors the forms your team fills in. It covers two related things: adjusting how the built-in fields already on a form behave (renaming a label, hiding a field you don’t use, or making one required) and adding your own custom fields when the built-in ones don’t capture everything you track. This page focuses on the built-in-field side. For adding new fields and choosing a data type, see Custom Fields.

  • You’ll need a role with permission to manage form customization. If you open the page and see an insufficient-permissions message, ask an administrator to grant your role access.
  • Form Customization applies to items and lookups that support custom fields, such as vendors, customers, manufacturers, sites, and locations, not just one form.
  • Know where the field lives before you start: which form, which tab, and which section. Fields are edited one specific place at a time.

Open the Settings (gear) menu and choose Form Customization. Pick the form, tab, and section you want to work on; the field list then shows every field in that section, both built-in and custom, together in one place.

For a built-in field in the list, you can adjust:

  • Label — rename the text your team sees next to the field.
  • Visible — show or hide the field on the form.
  • Required — force a value before the record can be saved.

You can’t change a built-in field’s data type or delete it; relabeling and toggling Visible/Required is as far as built-in customization goes. To capture something the built-in fields don’t cover, add a custom field instead.

If you’ve relabeled or reconfigured a built-in field and want to undo it, open the field and use Reset to Default to restore its original label and settings in one step. Built-in fields can be reset but not deleted; only custom fields can be removed entirely.

  • I don’t see Form Customization in the menu. It’s permission-controlled. Ask an administrator to grant your role access.
  • A field’s Required or Visible option is greyed out. That field is required by the system, so only its label can be changed.
  • My required field is also forced visible. That’s expected: a required field can’t be hidden, so turning on Required turns on Visible too.
  • I hid a field but still see it somewhere else. A hidden field is removed from that specific form; check whether the value is showing on a different form, list, or report instead.
  • I want to add a new field, not just change an existing one. See Custom Fields for adding fields and choosing a data type.
